Who we are

Okeydoor is run by Okeydoor Limited, a New Zealand company. In this policy, "we" and "us" means Okeydoor Limited.

Our privacy officer looks after this policy. Contact us about anything in it.

Your account

To use Okeydoor you sign in with your email address. We collect your email, your name, your phone number, whether you're looking for a home or listing one, whether you're a landlord, agent or seller, your agency office if you have one, and when you agreed to our terms. We use your email to send sign-in links and notices about your viewings, applications and listings.

We use one cookie to keep you signed in. It lasts 30 days from your last visit, or until you sign out. We don't use cookies for advertising or tracking.

If you turn on notifications on a phone or computer, we keep that device's notification address so we can send it your notices. You can turn them off in your account at any time, and signing out turns them off on that device.

Your profile and documents

If you're renting or buying, you can fill in a profile: your household, the areas you're looking in, your work, an income range, where you live now, your referees, a guarantor, your pets and a pet referee, and what you're looking to buy. You can also keep documents in your account, like photo ID, proof of income, your bank balance, a credit report, references, rent history, a Work and Income letter or a finance pre-approval.

Only add documents that are yours, and only add other people's details (like referees) if they're happy for you to.

What listers see

  • When you book a viewing: your name, phone number and email.
  • When you apply or send your details: your name, contact details, whether your ID is verified, your household, a summary of your pets, your work status, job title, how long you've been there, your income range (unless you chose to hold it back), your living situation and suburb, whether it's your first rental, what you've written about yourself, how many referees you have, whether you have a guarantor, which kinds of documents you have, and your message.
  • Only if you're shortlisted and say yes: your documents, your referees' and guarantor's contact details, your pet referee, your employer, your street address and your income range. They can see these until the listing closes, or until you stop sharing.

If an agent lists the home, their office manager can see the same things the agent can. We show you each time a lister opens one of your documents. Listers must only use your information to decide about that home, and keep it safe.

Checking your ID

Every lister verifies their ID before their first listing goes live. Renters and buyers verify their ID before sharing their documents. The check is run by Stripe, using a photo of your passport or driver licence and a selfie. Stripe holds those images under its own privacy policy. We receive the result and your verified name, and we show listers that your ID is verified. We don't receive or keep the photos.

Listing a home

Your listing, including its photos, is public while it's live. The street address only shows if you choose, or to people who've booked a viewing. For a private landlord or seller, renters see your first name. For an agent, they see your name and your office. Your phone number only shows if you choose.

Payments are handled by Stripe. We don't see or store your full card number. We keep a record of your subscription's status and plan.

If you report a listing, we keep what you tell us so we can look into it.

Who we share information with

Besides listers as described above, we use a few companies to run Okeydoor:

  • Cloudflare hosts the website, the database and the files you upload.
  • Stripe handles subscription payments and ID checks.
  • Resend sends our emails.
  • Apple, Google, Microsoft or Mozilla deliver notifications to your device if you turn them on, through the service your browser uses. Each message is encrypted for your device, so the service passing it on can't read it.
  • Google runs our email inbox, if you email us.

These companies may store information outside New Zealand. We use them because they protect information in ways comparable to New Zealand's Privacy Act. We never sell your information, and we don't share it for advertising.

How long we keep it

  • Your account, profile and documents stay until you delete them or your account. You can delete documents or your whole account at any time in the app, and it happens straight away.
  • If you're renting or buying and you haven't signed in for 12 months, we delete your documents.
  • Applications, viewing bookings, requests and sharing records are deleted 30 days after a listing closes.
  • Listing photos are deleted 90 days after a listing closes.
  • The record of who opened your documents is kept for 12 months.
  • Notices in the app are kept for 6 months.
  • A device's notification address is deleted when you turn notifications off, sign out on that device, or delete your account.
  • Stripe keeps payment records for as long as the law requires.

Your rights

You can see and change most of your information in the app. You can also ask us for a copy of the personal information we hold about you, or ask us to correct it. Email us and we'll reply within 20 working days.

If you're not happy with how we've handled your information, tell us first and we'll try to put it right. You can also complain to the Privacy Commissioner at privacy.org.nz.

If something goes wrong

If there's a privacy breach that could cause serious harm, we'll tell the people affected and the Privacy Commissioner as soon as we can.

Changes

We'll update this policy when Okeydoor changes. If a change matters, we'll tell you by email or in the app before it takes effect.
